Statement of Policy

Haven of Hope Christian Service and/or its service units (“HOHCS”) is committed to fully implementing and complying with the data protection principles and all relevant provisions under the Personal Data (Privacy) Ordinance (“the Ordinance”), and to taking all reasonable and practicable measures to maintain data accuracy, confidentiality, and security. This statement sets out the policies and practices adopted by HOHCS regarding the collection, use, handling, retention, and disclosure of personal data.

 

Personal Information Collection Statement

Provision of personal data to HOHCS is generally voluntary unless otherwise specified. A failure to provide the requested personal data, or the provision of inaccurate or incomplete information may result in HOHCS not being able to process the relevant request, application, enquiry or provide services. Personal data collected includes, but is not limited to, name, contact details (telephone, fax, email address, mailing address, etc.), identity document details (where applicable), donation records, and personal or health information relevant to service provision (collected only where necessary for service delivery). When we collect your personal data, we will provide you with a Personal Information Collection Statement (“PICS”) at the time of collection in an appropriate format and manner. The statement will clearly specify the purposes for which the data is collected, the categories of persons to whom the data may be disclosed, and whether the data may be accessed by third parties. It will also indicate whether provision of the data is voluntary or mandatory, and the consequences of failing to provide such data.

 

Purposes for Retention and Use of Personal Data

HOHCS will use your personal data only for the purposes stated at the time of collection, which include but are not limited to:

  • Service-related purposes: processing applications, enquiries, or donations.
  • Administrative, statistical, research purposes and service development recommendations.
  • Organising fundraising, events, responding, promoting, or publicising our charitable and/or health-related activities (direct marketing use requires your prior consent).
  • Complying legal and regulatory requirements, which may include crime prevention, detection, and investigation as requested by government departments, auditors, or other statutory authorities.
  • Other uses for which you have given consent.

 

Information Collected When You Visit HOHCS’s Websites

When you visit HOHCS’ websites, the webserver makes a record of your visit that includes your Internet Protocol (IP) address and the pages visited, but does not collect any personally identifiable information under this circumstance. Such information is used solely for the purpose of maintaining and improving our websites.

 

Any personal data transmitted via the Internet and stored on our servers is subject to access restrictions. Only authorized staff members of HOHCS, or contracted agents bound by agreement, are permitted to use your personal data and solely for legitimate purposes.

 

Online Registration and Donations

When you register or donate online, your personal information will be securely encrypted, in which credit card information will only be collected by the Visa/Master companies via their payment gateway for the purpose of processing the donation payment. HOHCS will not disclose any of such information. Other personal information such as donor’s name, telephone number, facsimile number, address, email address and record of donation will only be used for the purposes of issuing and sending of donation receipts and mailing of promotional materials by HOHCS.

 

Disclosure and Transfer of Personal Data

HOHCS will not disclose or transfer your personal data to any third parties without your prior consent. However, such data may be disclosed and/or transferred under the following circumstances:

  • To service providers or contractors engaged by HOHCS who are bound by confidentiality obligations, for the purpose of assisting in service delivery.
  • Where permitted or required by law, court order, or regulatory authority.
  • With your prior consent, for other relevant purposes.

 

All third parties to whom personal data is disclosed or transferred are limited to performing the specified functions and are required to safeguard the privacy and security of such data.

 

Data Retention and Protection Measures

HOHCS takes appropriate steps to protect the personal data we hold against unauthorized or accidental access, processing, erasure, loss or use. Your personal data will be retained for a period reasonably necessary to fulfill the purposes for which it was collected and in compliance with applicable legal requirements. Upon fulfillment of such purposes, the data will be securely deleted or anonymized.

 

Your Rights

In accordance with the Personal Data (Privacy) Ordinance, you have the right to access, amend, delete, or restrict the use of your personal data provided to us, and to request cessation of use of your personal data for promotional purposes. You may direct your request in writing to our Data Protection Officer. HOHCS undertakes to respond to your enquiry, request, or complaint within a reasonable time.

In the event of any inconsistency between the English version and the translated version of this statement, the English version shall prevail.
